Administration Officer/ Clerk, Maintenance

To provide administrative support to the Project Manager, senior staff, and manage the administration function for the project.  This position provides the first point of contact with other businesses, members of the public, employees and the client. The position works as part of an administrative team which effectively and efficiently shares and allocates workload amongst its members to deliver the key results contained within this document. Manage and arrange travel for all personnel to and from site Arrange accommodation for all personnel arriving on site Manage monthly timesheet for employees Create and maintain Work and Annual Leave Rosters Ensure administrative systems are in place to handle incoming and outgoing mail, facsimile transmissions, correspondences and reception Coordinate new employee on-boarding (SAP #/Training Request) Report all accidents/incidents and hazards to Supervisor immediately Manage site archiving records Complete monthly & weekly reports to clients as measured by accuracy and compliance to reporting standards Responsible for messenger duties for the project office. Ensure all documents are delivered on time to concerned party. Archive handling incoming and out-going documentation and distribute to the Project Manager in timely manner. Receives all the incoming correspondence, packages, faxes and distribute to the concerned party. Maintain an organized filing system such as Procedures, Manual, transmittals, reports, correspondence and other related documents. Close informing Maintenance events, Sending Daily Downtime report Upload defects from prestart checklist  in to JDE Archive handling maintenance documents in timely manner. Manage Weekly and Monthly maintenance documents Arrange tyre reports  Register Prestart checklist

HSE Officer

Assist the HSE Manager in the ongoing development and improvement of the HSE Programme; Conduct HSE Inspections and Audits at the Project site in accordance with relevant schedules Assist/Coach Supervisors in conducting workplace inspections; Assist with the compilation of HSE reports where required Assist in the identification of HSE hazards and relevant controls Assist in the investigation of incidents and the determination of causes to prevent a recurrence where required Provide support for the development of training and promotional material to increase awareness regarding HSE matters. Deliver training where required Conduct BAC test daily and report to HSE Manager Conduct weekly Toolbox meetings; Develop and conduct Project HSE inductions; Compile and maintain all required HSE project documentation; Assist employees in the development and writing of JHAs;
